Your privacy is extremely important to us. To better protect you, we have established the Privacy Policy that must be observed to handle user information appropriately.

This Policy describes how Insightflo (hereinafter referred to as “Insightflow”, “our”, “we”, “us”) collects, uses and discloses your personal information when you use our services, websites https://www.goinsightflow.com/ and https://insightflowapp.com/login ), and software (collectively, the “Services”). 

Please read this Privacy Policy carefully and ensure that you understand it. By using any of our Services, you agree to this Privacy Policy. If you do not agree to our use of your personal data in line with this Policy, you must stop using our Services immediately.

1. Scope of this Privacy Policy

This Privacy Policy applies only to our collection and processing of information about users of the Services. 

 

This Privacy Policy does not apply to any services, websites or software operated by third parties that are linked to us (whether we provide those links or other users share them) nor does it apply to content, data, applications or materials from third parties. We advise you to check the privacy policies of any third party website or software before providing any information to them.

 

2. Information We Collect

We collect the following types of information about you within the boundaries of legitimate business, as described in this section.

2.1 Information You Provide Us

  • Account Information. When you create an account to use our Services, you will be asked to provide your contact details such as your name, email address, and a password. 

  • User input. When you use the Services, we collect personal information that is included in the audio, videos, voice, text, images and other input that you provide to generate transcript or translate videos.

  • Communications Information. We collect your name, email address and other information you choose to provide in communications with us, including through the “Contact Us” page.

  • Payment Details. When you register to use any of our paid Services, our payment processing partner Stripe, Inc. may collect and process your billing details such as your name, credit card information, and billing address. Payment information is not shared with us and is maintained by Stripe.

2.2 Information You Provide to Us about Others

  • If you choose to collaborate on a task with your colleagues or friends, or refer us to them, you provide us with the email address and contact information of your colleagues or friends. 

  • If you provide an audio or video recording, this may contain the personal information of third parties. Before you do so, please make sure you have the necessary permissions from your colleagues, friends or other third parties before sharing Personal Information or referring them to us.

2.3 Information We Collect Automatically

  • Usage Information. We collect usage data about your interactions with the Services, including, but not limited to, information on operation settings, number of uploaded files, transcription time, and membership registration.

  • Device Information. When you use our Services, we collect the device information such as device type, unique identifier (UID), IP address, and operating system. 

  • Location information, such as approximate location based on IP address.

  • Cookies and Similar Technologies. We use Cookies and other similar technologies, for example, pixels, to provide functionality and to recognize you across different Services and devices. For more information about our Cookies policy, see HOW WE USE COOKIES AND SIMILAR TECHNOLOGIES below.

2.4 Information We Receive from Third Parties

We may obtain information about you from outside sources, including

  • Third Party Integrations. When you connect third party platforms, apps or providers to our Services, or when you register through a third party account (such as Apple, Google or Microsoft), we receive Personal Information that includes your username, email address, and time from such third parties and any information you choose to upload to such third party platforms (“Platform Information”).

  • Information from platforms our Services relies on: We receive transaction information from our payment processor Stripe. More information is available here: https://stripe.com/gb/privacy

  • Other Partners. We may receive demographic or marketing information about you from third parties, for example, information about your interest in, and engagement with our Services. We may combine this information with other data we already have to improve your experience with our Services. 

We also collect, and use aggregated data such as statistical or demographic data for our purposes. Aggregated data may be derived from your Personal Information but is not Personal Information as this data will not directly or indirectly reveal your identity. However, if we combine or connect aggregated data with your Personal Information so that it can directly or indirectly identify you, we will treat the combined data as Personal Information which will be used in accordance with this Policy.

3. How We Use Your Information

We use your personal information to provide you with a great overall experience in the following ways:

  • To set up your account. We use your registration information, device information and information received from third parties (such as your username, email address) in order to set up an account for you to use our Services. 

  • To provide and maintain the Services. We use your video and audio recordings, usage information, and platform information in order to provide you with the Services. We do so in accordance with our contractual obligations to you.

  • To provide customer support, information, and services requested by you.

  • To send you emails that you have subscribed to (for example, campaign information) or announcements relating to your account.

  • To enhance the safety and security of our Services, such as conducting testing, evaluation and system reporting.

  • For other purposes with your consent.

4. How We Use Cookies and Similar Technologies

We and our third party partners use Cookies, pixels, and similar technologies to collect information about your browsing activities and to distinguish you from other users of our Services in order to aid your experience and measure and improve our advertising effectiveness.

Cookies are small pieces of data stored on your device by websites you visit. 

We use the following types of Cookies and similar technologies:

  • Strictly necessary Cookies: Some Cookies are strictly necessary to make our Services available to you, for example, to provide login functionality, user authentication and security. We cannot provide you with the Services without this type of Cookie.

  • Functional Cookies: These are used to recognize you when you return to our Website. This enables us to personalize our content for you and remember your preferences (for example, your choice of language).

  • Analytical, performance, or advertising Cookies: We also use Cookies and similar technologies for analytics purposes in order to operate, maintain, and improve our Services and measure and improve our advertising effectiveness. We use third party analytics providers to help us understand how users engage with us. We also use third party advertising partners, including Facebook, to deliver ads to you on other sites. This information is used to compile reports and to help us improve our Service and Website. Such reports disclose Website trends without identifying individual visitors.

You can block Cookies by setting your internet browser to block some or all or Cookies. However, if you use your browser settings to block all Cookies (including essential Cookies) you may not be able to use our Services.

5. How We Share Your Information

We share information outside of Notta only as described below:

  • Trusted third parties. We may disclose your information to service providers we rely on for the provision of the Services, including for Cloud storage, payment processing, voice transcriptions, data analytics, and customer service.

    We’ll only disclose the information necessary for these parties to perform their services for us, and they’ll be bound by contractual obligations to protect your personal information.

  • Other users. If you collaborate with others, we may display your basic account or profile information. For example, if you share a Notta transcript with another user, we’ll let them know that it was you who shared it. 

  • Administrators. If you join a Workspace owned by another person or entity, the administrator of that Workspace has the right to access the content in it.

  • Affiliates. We may disclose information to our affiliate partners.

  • Legal reasons. We may disclose your information to comply with an applicable law, regulation, or an enforceable government request, to enforce our contractual arrangements and policies, or to protect or defend the Services, our rights and the rights of our users or others.

  • Change in corporate ownership. If Notta is involved in a merger, acquisition, bankruptcy, reorganization, partnership, asset sale or other transaction, we may disclose your Personal Information as part of that transaction.

  • With your consent. We may also disclose information when you request, direct or consent to us doing so.

6. Your Rights

In certain circumstances you have the following rights in relation to your Personal Information that we hold.

  • Access. You have the right to access the Personal Information we hold about you, and to receive an explanation of how we use it and whom we share it with.

  • Correct. You have the right to correct any Personal Information we hold about you that is inaccurate or incomplete.

  • Delete. You have the right to request for your Personal Information to be erased or deleted.

  • Restrict processing. You have a right in certain circumstances to stop us from processing your Personal Information other than for storage purposes.

7. How We Protect Your Information

We use certain physical, managerial, and technical safeguards that are designed to improve the integrity and security of Personal Information that we collect and maintain. 

 

The Services may provide features or links to websites and services provided by third parties. Any information you provide on Apps, third-party websites or services is provided directly to the operators of such websites or services and is subject to their policies governing privacy and security, even if accessed via our Website or in connection with our Service.

8. Additional California Privacy Notice

This Additional California Privacy Notice applies solely to California residents. It applies to personal information we collect on or through the Services and through other means (such as information collected offline, in person, and over the telephone). We may have collected the following categories of personal information for business or commercial purposes:

  • identifiers (such as name and email address),

  • commercial information (such as transaction data),

  • Internet or other network or device activity (such as browsing history and log data),

  • financial data (such as credit card information),

  • sensory information (such as customer service recordings ),

  • other information that identifies or can be reasonably associated with you.

We collect the categories of personal information identified above from the following sources: (1) directly from you, (2) through your use of the Services, and (3) third parties such as lead generation firms.

As further described above, we collect the categories of personal information identified above for the following business and commercial purposes:

  • to provide the Services,

  • to communicate with you regarding the Services or to tell you about services we believe will be of interest to you,

  • to protect us and others, including enforcing the legal terms that govern the Services,

  • to comply with laws,

  • to facilitate any business transfers for an actual or contemplated sale involving our assets,

  • as consistent with customer requirements.

California law may permit California residents to request that we:

  • Provide you the categories of personal information we have collected or disclosed about you in the last twelve months, the categories of sources of such information, and the categories of third parties with whom we shared personal information.

  • Provide access to and/or a copy of certain information we hold about you.

  • Delete certain information we have about you.

You may have the right to receive information about the financial incentives that we offer to you, if any. You also have the right to not be discriminated against (as provided above) for exercising certain of your rights.

We may share certain data with entities that track advertising effectiveness on our behalf. We may share email addresses with services that deliver email on our behalf. These entities take no ownership in identifiers (such as name and email address).

9. Children’s Privacy

The Services are not aimed at children, and we do not knowingly collect Personal Information from children under the age of 13. If you are under the age of 13, please do not submit any personal information through the Services. If you believe that a child has provided us with Personal Information in violation of this Policy, please contact us as indicated below.

10. Updates to this Privacy Policy

Where required, we will update this Privacy Policy from time to time. When we do so, we will make it available on this page and indicate the date of the latest revision. Please check this page frequently to see any updates or changes to this Policy.

11. Security

The security of your information is important to us. We employ technical and organizational security measures designed to protect your data, including SSL/TLS encryption protocols to safeguard data during transmission, Amazon S3 to ensure data storage encryption, and Spring Security that provides authentication, authorization, and protection against common attacks.
